Certain items or arrangements that are not generally offered as standard at your Property, but are available, may be added to the Special Requests list. Examples of special requests might include extra towels, hypo-allergenic pillows or bedding, or scent-free toiletries.
Special requests can then be attached to a guest record or an individual stay using the Special Requests/Preferences icon from the toolbar of the Guest Account, Group Account, Guest Stay or Group Stay screen.
You can check all of the appropriate special requests, and free form type any notes about the guest's preferences. If the special request is added at the guest level, it will be associated with the guest record, and subsequently carry over to any future stays for the guest, otherwise it can be modified at the stay level for each stay specifically, (and be associated with a specific stay only).
Note: Any special requests or preferences added at the stay level affect that stay only. A guest may have certain special requests or preferences attached to the guest record which will automatically be added to the stay, AND additional special requests made for that particular stay only.
Special Requests and Preferences added may be shown (if selected) on reports such as the Arrivals Report, the Arrivals, Stayovers and Departures Report, and the VIP Report.
When selected, the Special Requests/Preferences screen will open.
If the screen was reached from a guest Stay (Folio) record, the details of the Stay will be shown, and the orange button "Show Stay >>" will be present, indicating that the selections made and comments added will be attached to this Stay record ONLY.
If the screen was reached using a guest information record, the Guest name (and any attached Company) will be shown, and the orange button "Save and Show Guest >>" will be present, indicating that the selections made and comments added will be attached to the guest record (and therefore any subsequent Stays automatically).
In either case, the Special Requests/Preferences sections will be the same. Any Special Requests or Preferences already added will be shown.
Special Requests: This section contains checkboxes for every available option. All options shown here have been previously configured using the Special Requests screen. Check all of the appropriate special requests.
Preferences: Enter any information (free-form type) about the guest's preferences into this field.
When finished, click the orange button "Save and Show Guest >> OR "Show Stay >>" to add the Special Request/Preferences information and return you to the screen you entered from.
